    “The onboarding process has evolved significantly over the past three years,” notes Petra, who serves as Werkzaak's online communications specialist. "Back then, we didn't really have a formal onboarding process in place. There was no preboarding either; you'd simply receive an email a few days beforehand containing all the necessary information." Angela, a P&O advisor at Werkzaak, adds, "We used to host what we called a welcome meeting, which we later realized wasn't ideal. It was a packed day with heaps of information but limited interaction, and it was challenging to reach everyone. Some employees attended months after their start date, while others didn't attend at all. Due to this, the Werkzaak Rivierenland onboarding process lacked uniformity, which meant it took a long time for new hires to understand our organizational structure and different departments.

    Angela: "Due to the sheer volume of information shared in a single day, it didn't always resonate with new employees. It didn’t feel good when, the following day, I'd ask them, "What do you remember from our discussion?" and they'd often shrug their shoulders. Newcomers were already getting a lot of information and new impressions, so it was simply too much in a short period of time." 

     

    Consistency

    Ensuring that every new employee received the same information was an ongoing challenge. It seemed that one individual might receive different details from their buddy compared to another, resulting in a lack of overall consistency in the onboarding process. This variability in the knowledge shared occasionally led to confusion and posed challenges for new team members seeking a solid grasp of basic organizational knowledge.

    Reaching new employees proved tricky. In some cases, it took weeks or even months for employees to fully integrate into the organization. And some never did. The delay in engagement and the inconsistency in the onboarding process made it difficult to achieve a sense of community within the organization.     Talmundo established the framework for the onboarding app, incorporating features like a timeline, filters, and pre-designed templates for various app pages. Angela and Petra then made it their own by integrating pre-existing content and fresh material. According to Petra, Talmundo's user-friendly interface made it easy to input their content into the templates, offering a seamless and intuitive experience.

    Werkzaak Rivierenland splits its onboarding program into several distinct phases: Preboarding (the period preceding your first workday), the first day, the first month, and the initial three months. This means that the onboarding journey begins 30 days before your official start date and continues for 90 days after. The content, questions, and quizzes you encounter are tailored based on your position, department, and seniority. From day one, you are paired with a designated "buddy" and receive essential training specific to your role during your first weeks on the job. This approach ensures that regardless of their role, employees benefit from a personalized onboarding experience, blending technology with a personal touch.

    Even as a government organization with an annual intake of 30-40 new employees, Werkzaak Rivierenland places great emphasis on gathering feedback from its recruits.
